The Vantage CRM Discord bot

What it is

A private bot that Vantage Connectionsruns in its own Discord server, in the channel where creators in our UGC program post the videos they make for us. It is not listed publicly and cannot be added to any other server. It exists so that a video a creator posts shows up on that creator's record in our CRM without anybody copying links by hand.

What it reads

Messages in that one channel, and only that channel. From each message it keeps the author's Discord username and user id, the time it was posted, any TikTok, Instagram or YouTube link in the text, and the filename of any video file attached. It does not read direct messages, other channels, member lists, or presence, and it does not store the text of a message that carries no video.

How it's used

The username is matched against the Discord username each creator gave us when they applied to the program, so the video is attached to the right person. For a public video link we then look up how it is doing on that platform, such as views, likes and comments, to measure the program. That is the whole list of uses. Nothing is used for advertising, and nothing is sold or shared with anyone for marketing.

Where it lives

In our CRM's database, hosted by Supabase, behind the same admin sign-in as everything else we know about a creator. The bot runs on Vercel. Discord's own copy of the messages is governed by Discord's privacy policy, not this one.

Your choices

Creators in the program can ask us at any time what we hold about them, to correct it, or to delete it, including every video record, by replying to any email from us or writing to hello@vantageconnections.com. Deleting a creator's record deletes their videos with it.
